For the annual figure, multiply by twelve. A 25 person team on Managed IT Support is $3,000 a month, so $36,000 a year. Above 200 users we would be recommending our Co-Managed IT solution unless requested otherwise.

Twelve, twenty four or thirty six months

A shorter term is a real option, not a punishment, but it does cost more and you are entitled to know why. The same uplift applies to every band.

Before you read the 36 month column as a lock-in, two things. The first 90 days are money back, no reason required. And there is a fee-free break at nine months on 90 days notice, so the longest you can be committed to us against your will is 12 months, not 36.

The break applies on every band. On Complete IT there is one difference, and it is the honest one: the hardware and the software licences sit inside your monthly price and we have already committed to them for the full term, so those run to the end of the 36 months. The service stops when you go.

Most providers make leaving expensive, because a client who cannot leave does not have to be kept happy. We would rather earn month ten than enforce it.

Why 12 and 24 months cost more, and it is not a penalty. When you commit for 36 months, we commit for 36 months too. Microsoft licences, our security and monitoring tooling, backup, the endpoint stack and the hardware finance behind Complete IT are all cheaper on a three year term than they are bought month to month, and every one of those is a cost we carry on your behalf every single month you are with us. The 36 month rate is what it costs when we can buy the way you are buying. On a 12 month agreement we buy monthly, at monthly rates, and we pay that difference every month of the year. Twenty four months carries ten percent more, twelve months twenty percent more.
What happens at renewal. The same arithmetic, because it is an ongoing cost rather than a one-off. Our suppliers do not give us the three year rate for the next three years because we bought it for the last three. Recommit for 36 months and you keep the 36 month rate. Move to a shorter term at renewal and the rate moves with it, for the same reason it did on day one.
Two things are 36 month only. The documentation and exit pack on Managed IT Support, and the whole of Complete IT, because the hardware behind it is financed against a fixed 36 month term.

On after hours, plainly. The four bands cover New Zealand business hours, with a UK team picking up part of the evening. There is an unmanned window overnight and an uncovered window early in the morning. Extended cover is a separate add-on, from $600 a month for a team of up to ten. Unless you have bought it, we are not going to print "24/7" on a pricing page.

The costs that are not the monthly fee

Three things get billed outside your monthly figure. Here they all are, with numbers, so none of them arrives as a surprise.

Onboarding

A one-off fee, charged as a multiple of your monthly band fee, with a timeframe that matches it. The top two bands take longer and cost more because the virtual CIO baseline has to be built, and on Complete IT because licences and hardware have to be ordered before anything goes live.

Project work

Projects start at $1,440 a day and can reach $3,000 a day where third party specialists are involved. On Managed IT Support and above, your banked onsite hours are spent first. We only take on the work we are genuinely the most efficient at, and we will tell you when that is not us. Ten days at $2,000 for the right result costs you less than twenty days at $1,440 for an average one, and we would rather say so than quietly bill you the difference.

What we make on hardware and licences

Hardware carries 23 percent. Microsoft licences carry 23 percent. We publish that because you will work it out anyway, and because the licence margin is not a mark-up sitting on its own. It is where a large part of your support cost actually lives. Every licence is another identity, another mailbox, another device and another set of policies to keep working, and the heavier the licence the heavier the support behind it. Someone on Exchange Online Plan 1 with a mailbox generates a fraction of the work of someone on Business Premium with Intune, Defender and conditional access, and the margin on the licence is what pays for that difference. Licences are itemised on your invoice on every band except Complete IT, where they are inside the fixed fee.

A worked example, 25 people in Christchurch

A 25 person professional services firm sits in the 11 to 25 user band. On Managed IT Support that is $3,000 a month.

That includes 2.5 hours of onsite support every month. Banked over six months that is 15 hours, worth $2,700 at our $180 onsite rate, and you can spend it on a project. Unused support time is available for project time.

The same firm on Complete IT pays $10,000 a month. That covers 25 Microsoft 365 Business Premium licences, 25 laptops and the virtual CIO.

What is the minimum spend for managed IT services?

We price based on a minimum team size of ten, so the entry point is $750 a month on Remote IT Support, excluding GST. A team smaller than ten is welcome and is simply priced as ten, which is why the first band on this page reads 1 to 10 users. Fully Managed IT and Complete IT start higher, at $3,600 and $5,800, because the virtual CIO is a fixed cost that does not get smaller when the team does.

Is onsite support included, or is it charged separately?

On Remote IT Support it is charged separately at $180 an hour. On Managed IT Support and every band above it, onsite is included at one hour per ten users per month. Those hours accumulate for up to six months and you can spend them on project work, not only on support. Anything beyond your banked balance is quoted at the same rate.

Are Microsoft 365 licences included in the price?

Not on Remote IT Support, Managed IT Support or Fully Managed IT. On those bands licences are billed separately and itemised on your invoice. Microsoft 365 Business Premium is included for every user on Complete IT.

What is the difference between managed IT and fully managed IT?

Managed IT Support covers the work: helpdesk, onsite, monitoring, patching, hardware lifecycle and quarterly reporting. Fully Managed IT adds the thinking, in the form of a virtual CIO who owns your technology roadmap, your IT budget and your board level reporting. That vCIO is a fixed cost, which is why Fully Managed IT starts at $3,600 a month rather than scaling down with a small team. If you already have someone internal doing that work, the vCIO becomes their peer, there to help guide and counterbalance the decisions. It never hurts to have a second pair of eyes or a second opinion.

Is there a setup or onboarding fee for managed IT?

Yes, and it is published rather than sprung on you. Onboarding is one month's fee on Remote IT Support and Managed IT Support, and two months' fee on Fully Managed IT and Complete IT. For a team of ten that is $750, $1,200, $7,200 and $11,600 respectively, excluding GST. The timeframe matches the fee: about a month on the first two bands and about two months on the top two, because the virtual CIO baseline has to be built and, on Complete IT, licences and hardware have to be ordered before anything goes live.

What do you charge for IT project work?

Project work starts at $1,440 a day and can reach $3,000 a day where third party specialists are involved, excluding GST. On Managed IT Support and above your banked onsite hours are used first. Does the price go up during the contract?

Your band price is fixed for the term you sign. On Complete IT the whole fee is locked for the full 36 months, including the Microsoft licence component, so a Microsoft price rise during your term is our cost rather than yours. On the other bands, licences are billed separately and do move with Microsoft pricing.

What happens if my staff numbers change?

Your price is set by the band your team sits in, so hiring within a band changes nothing. Cross into the next band and you move to that band's price from the following quarter, and the same applies in reverse, down to the ten user floor. Complete IT works differently, because the hardware is financed against a fixed term, so it carries a committed minimum seat count that can rise but cannot fall during the 36 months.

How do I get out if it is not working?

Three answers, in order. In the first 90 days you get your money back for any reason you like, and not happy is the whole test. After that there is a fee-free break at nine months on 90 days notice, on every band. And on Managed IT Support and above you get documentation you own, including an exit pack, so a new provider can pick it up without starting from scratch. On Complete IT the break works the same way, but the hardware and the software licences are inside your monthly price and we have already committed to them, so those run to the end of the 36 month term.
