Managed IT services cost most New Zealand businesses a fixed monthly fee per user, and the band is narrower than the sales pages suggest. This guide sets out what MSP fees in NZ look like in 2026, the pricing models behind the quotes, what each price point includes and how to compare proposals line by line.

How much do managed IT services cost in NZ?
Most NZ MSPs charge a fixed monthly fee per user. OxygenIT does not. We price managed IT in four bands set by the size of your team, and the band price is the price. There is no per user charge on top of it and no headcount reconciliation at the end of the month.

The first 90 days are money back, no reason required. And there is a fee-free break at nine months on 90 days notice, so the longest you can be committed to us against your will is 12 months, not 36. On Complete IT the hardware and the software licences sit inside your monthly price and we have already committed to them for the full term, so those run to the end of the 36 months.
Here is the worked example. A 30 person firm sits in the 26 to 37 user band. On Remote IT Support that is $2,775 a month, or $33,300 a year. On Managed IT Support it is $4,440 a month, or $53,280 a year. On Fully Managed IT, which includes a vCIO, it is $6,660 a month.
Even the middle figure sits below the fully loaded cost of one senior in-house IT hire, and it buys a service desk, an engineering team and a security stack rather than one person who takes annual leave. The firm also knows the number before it hires anyone, because hiring a 31st person does not change it.
A team smaller than ten is priced as ten, so $750 a month is the floor. Below ten staff the fixed cost of monitoring, patching and security tooling does not spread far enough to be worth either side’s while, and we will say so rather than sell you a plan that does not fit.

What pricing models do MSPs use?
NZ MSPs price in four main ways: per user, per device, tiered bundles and all-inclusive flat fees. Kaseya’s global MSP benchmark reporting consistently shows per-user pricing as the dominant model among MSPs worldwide, and the New Zealand market follows the same pattern. Most quotes you receive will be per user per month.

Hybrids are common. Many NZ providers quote per user, then add per-device charges for servers and network equipment, so always confirm which model a quote uses and what happens to the fee when your headcount changes.
What is included at each price point?
At the entry point, around $75 per user, expect helpdesk, patching, endpoint protection and backup monitoring. Mid tiers add a fuller security stack, a vCIO cadence and compliance basics. At the top of the range, around $180, you should see advanced security operations, strategic planning and project inclusions.
The structure below reflects how the NZ market typically tiers managed support. OxygenIT’s own four tiers follow the same shape, but we charge the band price for the tier rather than a rate per user.
- Entry, around $75 per user per month across the market. Our equivalent is Remote IT Support, from $750 a month. Remote helpdesk during business hours, operating system and application patching, a managed antivirus or baseline EDR agent, backup monitoring and alerting, and day to day user administration such as starters and leavers.
- Mid range, roughly $100 to $140 per user per month across the market. Our equivalent is Managed IT Support, from $1,200 a month. Everything at entry, plus a proper security stack: managed EDR, MFA enforcement, email filtering and a security awareness programme for staff. You should also get a vCIO cadence, meaning scheduled reviews with someone accountable for your IT roadmap, plus compliance basics such as policy templates and audit support.
- Top tier, up to $180 per user per month across the market. Our equivalent is Fully Managed IT, from $3,600 a month. Everything below it, plus advanced security operations such as SOC monitoring or managed detection and response, deeper compliance and governance work, strategic planning tied to business goals, and often project credits or preferential project rates so routine improvements do not become change orders.
- Above that sits Complete IT, from $5,800 a month. The whole IT function including hardware as a service, so the device fleet sits inside the monthly figure. Sold on a 36 month term only. Most of the NZ market does not offer an equivalent.
Notice the pattern: the gap between tiers is mostly security and strategy, not helpdesk. If a top tier quote cannot explain what extra security operations the extra spend buys, treat the number with suspicion.
Is managed IT cheaper than break-fix support?
Break-fix looks cheaper on paper because you only pay when something breaks. Over a full year it is usually the more expensive option for any firm past about ten staff, because you carry the downtime cost, the incentives point the wrong way and the spend is impossible to budget.

The real cost of break-fix is rarely the invoice. Thirty staff idle for half a day costs more in wages than a month of entry tier managed support, before you count lost revenue or a missed deadline. What drives managed IT pricing up or down?
Six factors move IT support pricing in New Zealand more than anything else: user count, security and insurance requirements, how much legacy infrastructure you run, industry regulation, how much onsite time you need and whether you require after-hours cover. Before comparing quotes it is worth being clear on what IT support includes, and what sits outside the monthly fee. Two businesses of the same size can land at opposite ends of the range.
- User count. Per user IT cost usually falls as headcount rises, because tooling and account management spread across more seats. A 150 person firm should expect a sharper rate than a 15 person firm on the same tier.
- Security and insurance obligations. Cyber insurance proposal forms now ask about MFA, EDR, backups and incident response. Meeting those conditions pushes you towards mid and upper tiers, and better insurance terms offset part of the difference.
- Legacy servers vs cloud. On-premise servers need patching, backup and hardware care that cloud services do not. Environments still carrying old servers pay more per user than cloud-first ones running on Microsoft 365.
- Industry regulation. Health, legal, finance and government-adjacent work bring privacy and compliance obligations that add reporting, auditing and documentation time to the agreement.
- Onsite vs remote. Most support is delivered remotely. Guaranteed onsite visits, or sites outside the main centres, add travel time and cost into the monthly rate.
- After-hours cover. Business-hours support is standard. Genuine 24/7 cover with contracted response times is a real cost for the MSP and is priced accordingly, so only buy it if your operation truly runs around the clock.
Two of those factors are worth expanding, because they are the ones businesses most often discover late. The first is legacy load. Old hardware and software quietly push costs up: a ten year old server needs more monitoring, more patching and more manual intervention than a modern cloud setup, and unsupported Windows versions add the same drag. We have walked into Christchurch offices where the biggest single cost driver was not staff count at all, it was one ageing file server nobody wanted to touch.
The second is the insurance trigger. A business asks for helpdesk cover, then an insurance renewal arrives requiring multi-factor authentication, password management and a documented backup plan. That is not scope creep, it is what proper cover means once you look at it closely, and it is cheaper to scope in at the start than to bolt on later. Industry shapes the same question: a professional services firm holding client data has a different definition of adequate to a retailer running a few point of sale terminals.
Does bundling IT support cost less than using separate vendors?
Usually, yes. Network security, endpoint protection, backup and helpdesk under one managed agreement means less duplication of tooling and fewer gaps between providers. Split the same functions across three vendors and you often pay more in total while getting less visibility, because no single party sees the whole environment and each one’s scope stops where the next one’s begins. When an incident crosses those boundaries, you become the integrator.
Before you compare any 2026 numbers, get your own position clear: how many users and devices you have, what your server situation is, and whether you need compliance-ready reporting for SMB1001 or ISO 27001. Those three answers move the monthly figure more than headcount alone.
How do you compare NZ MSP quotes fairly?
Compare quotes on scope, not on the headline rate. A $95 quote that excludes security tooling, onboarding and after-hours work can cost more over a year than a $130 quote that includes them. Put every proposal through the same checklist before you look at the price again.
- What is in scope? Get the inclusions in writing: devices, servers, cloud services, applications and which security tools are part of the fee. Anything not listed is billable.
- What response times are in the contract? Marketing pages promise fast responses, contracts commit to them. Ask for response and resolution targets by priority in the agreement itself. - What security is included? EDR, MFA management, email filtering, backup testing and awareness training should be itemised. A cheap fee that excludes security is not comparable with one that includes it.
- What are the onboarding and offboarding fees? Some MSPs charge a one-off setup fee, and some charge to hand over documentation when you leave. Both belong in your year one comparison.
- What is the term, and how do you exit? Check the contract length, renewal terms, notice period and who owns your documentation and passwords. A confident MSP makes leaving straightforward.

Yes. This is called co-managed IT, and it is common in NZ firms of 50 to 200 staff.
